Whichever route you take, we give you clear payment options and the paperwork your lender or grant body needs, quickly and in the right format.

This page applies to all equipment sold by SOVDA LLC, including the Pearl Mini, Precision Fill, Precision Fill Mini, SOVDA Lift and SOVDA Blend.

Standard Payment

• Payment: we usually ask for 100% payment upfront when you place your order.
• Best for: most orders, and roasters paying from cash or with funding already approved.

Split Payments on Larger Orders

• How it works: for larger orders, we are happy to split the total into several payments to ease your cash flow.
• Schedule: agreed with you before you order, and set out in your quote.
• Best for: roasters investing in a full line or several machines at once.

How to Pay

• Bank details: full account details for wire, ACH and check are printed on your invoice.
• Card payments: use the secure payment link in the footer of your invoice, or ask us to send it.
• Reference: when you pay, include your invoice number and company name so we can match your payment quickly.

Banks and grant bodies need documents in a particular format.
On request, we provide:

• Pro forma invoice: stamped and signed, with our bank details.
• Spec sheets: a technical description of each machine.
• Company documents: registration and tax details for SOVDA LLC (United States).
• Quote format: a single-line or itemized quote, whichever your lender needs.
• Split quotes: so your project fits within a grant's funding cap.

We send these documents within 2 business days of your request.

Equipment Descriptions
Grant forms often ask you to describe what you are buying and why. You can use or adapt these descriptions:

• Pearl Mini: an optical color sorter that automatically removes defective beans, such as quakers, from roasted coffee. It replaces manual hand sorting and improves cup consistency.
• Precision Fill and Precision Fill Mini: automatic weigh-and-fill machines for whole-bean coffee. They replace manual weighing and bagging, and reduce giveaway from overfilled bags.
• SOVDA Lift: a vacuum conveyor that moves coffee between the roaster, sorter and packing machines. It removes the need to lift and carry heavy buckets.
• SOVDA Blend: an automatic blending system that mixes roasted coffee components consistently, batch after batch.

HS Codes
Banks, leasing companies and customs brokers often ask for the HS code of each machine:

The first six digits apply internationally. The remaining digits can vary by country, so your customs broker should confirm the full code for your import.

A Typical Grant Timeline

1. Request your quote: we prepare it to fit your scheme, including split quotes if your grant has a funding cap.
2. Check eligibility: send us your scheme's rules and we confirm in writing how each machine qualifies, for example use on roasted coffee.
3. Submit your application: we send any supporting documents within 2 business days.
4. Receive approval: let us know, and we update your quote if prices or configuration have changed.
5. Confirm your order: your payment confirms your order and production slot.
6. Plan for delivery: if your scheme requires the equipment to be installed by a deadline, ask us for the current production and shipping lead time before you submit, and build it into your plan.

Roasters often fund SOVDA equipment through:

• United States: SBA loans and equipment financing through their own bank.
• United Kingdom and Europe: regional business-growth grants and equipment leasing.
• Canada: provincial and federal agri-food and manufacturing programs.

Grant rules often depend on how a machine is used, for example on green or on roasted coffee. Send us the requirements and we will confirm in writing what applies to each machine.

Can I order before my grant or loan is approved?
Your order and production slot are confirmed once we receive your payment. For split payments, that is your first payment. Many funding schemes do not allow purchases made before approval, so check your scheme's rules first. Share your submission date with us and we will have your documents ready, so you can confirm your order as soon as funding comes through.

Which currency do you invoice in?
All quotes and invoices are in US dollars (USD).

Who issues my invoice?
SOVDA LLC, United States. If your bank needs anything beyond the documents listed above, ask us. We handle bank compliance requests regularly.

What if my timeline changes?
We get it: things change. A permit takes longer than planned, the new roastery isn't ready yet, or a grant decision slips by a few weeks. That's part of growing a roastery, and it's not a problem.

Just let us know as soon as you can. We'll work with you to move your production slot or adjust your payment schedule to fit your new timeline. The earlier we hear from you, the more options we have to make it work.
